Prom season hits Chicago from late April through mid-June, and it’s one of the busiest windows of the year for Royal Carriage Limousine. Every year we transport thousands of high school students to proms across Chicagoland — from downtown hotel ballrooms to suburban banquet halls — and we’ve seen every possible scenario play out.
Here’s the definitive guide from a company that’s been doing this for years.
When to Book Your Prom Limo in Chicago
The honest answer: as early as possible. Our stretch limousines and 20-passenger party buses for prom season start booking in January. By March, most Friday and Saturday nights in May are committed. If you’re reading this in April and your prom is in three weeks, call (224) 801-3090 immediately — we may have cancellations, but availability is tight.
The booking timeline by month:
- January-February: Best selection of vehicles and times. Book now for the best price.
- March: Most popular dates are filling up. Weeknight proms still available.
- April: Limited availability for May dates. Weekend slots are mostly taken.
- May-June: Last-minute availability only. Prices may be higher due to demand.
Stretch Limo vs Party Bus: Which One for Prom?
Stretch Limousine (6-10 Passengers)
The classic prom choice. A white or black stretch limo pulling up to the venue is still the most photographed moment of prom night (after the actual dance). Features include leather seating, fiber optic ceiling lights, a premium sound system, and privacy partition.
Best for: Smaller, tight-knit friend groups of 6-10. The classic prom entrance. Great photo opportunities. Every parent gets that iconic shot of their kid stepping out of a stretch limo.
Chicago prom limo pricing: $250-$400 for 4-5 hours depending on the day and vehicle. That’s $25-$65 per person for a group of 8 — cheaper than individual rideshares and infinitely more memorable.
20-Passenger Party Bus
When two friend groups combine, the party bus is the move. Open floor plan, LED lighting system, wraparound seating, Bluetooth-connected sound system, and enough room that nobody’s sitting on anyone’s lap. The energy is completely different from a limo — it’s a party before the party.
Best for: Groups of 12-18 who want music, dancing, and a high-energy entrance. The bus can also handle more stops for photo locations without the cramped feeling.
Chicago prom party bus pricing: $400-$650 for 4-5 hours. Per person with 15 passengers, that’s under $45 each.
40-Passenger Party Bus
When three or four friend groups decide to go big. Multiple seating zones, massive sound system, LED dance floor area. These buses are rolling nightclubs. We run these regularly for prom groups of 25-35 students.
Pricing: $650-$900 for 4-5 hours. With 30 passengers, that’s $22-$30 per person — actually the most affordable option per head.
The Typical Prom Night Route
- Pre-prom photos (30-60 min before departure): The limo or bus arrives at the designated house — usually one student’s home in the suburbs. Naperville, Schaumburg, Park Ridge, Orland Park, Lake Forest. Parents take photos with the vehicle, the group, the couples. Budget at least 30 minutes for this. The driver knows to stage in a photo-friendly position.
- Dinner (60-90 min): The group heads to a restaurant — either downtown (RPM Italian, The Signature Room, Morton’s) or near the venue. We drop the group, stage nearby, and pick up when they text the driver. Tell us the restaurant in advance so we can scout staging.
- The prom itself (3-4 hours): Grand entrance at the venue. This is the moment. The driver coordinates timing so your group arrives together and walks in as a unit. Let the driver know what time you want to make your entrance.
- After-prom (1-2 hours): After-parties, late-night restaurant runs (Portillo’s at midnight is a Chicago prom tradition), or just cruising the lakefront. If your school has an official after-prom event, we take the group there. Some groups request a 30-minute downtown cruise to see the skyline — Chicago at night from a party bus is special.
- Drop-off: Everyone gets home safe. Multiple stops are standard. We just need addresses in advance so the driver can plan the most efficient route. Last drop-off is typically 1-3 AM.
Chicago-Specific Prom Venue Logistics
Downtown Hotels
If your prom is at the Hilton Chicago, Palmer House, Drake Hotel, or W Chicago — Friday and Saturday evening traffic in May is brutal. Build in 20-30 extra minutes beyond what Google Maps says. Your driver knows alternate routes (Lower Wacker, side streets off Michigan Ave) but traffic is traffic.
Suburban Banquet Halls
Abbington Distinctive Banquets (Glen Ellyn), Medinah Banquets (Addison), Empress Banquets (Addison), Carlisle Banquets (Lombard), Chateau Ritz (Niles) — these are the most common suburban prom venues. Traffic is lighter but distances are longer. A group from Schaumburg heading to Medinah Banquets in Addison is a quick 10-minute ride. A group from Naperville to Niles is 40+ minutes.
Museum Campus / Unique Venues
Shedd Aquarium, Field Museum, Adler Planetarium — these Museum Campus proms are spectacular but have limited vehicle access. The peninsula road is one-way during events. Your driver needs to know the specific loading zone and staging area — we’ve done these venues hundreds of times.
What Parents Need to Know
- Alcohol policy: Illinois law allows alcohol on licensed party buses, but prom groups are underage. Period. We enforce a zero-tolerance policy. If alcohol is found on the vehicle during a prom run, we reserve the right to end the trip and contact parents. This isn’t negotiable and it’s for your kids’ safety.
- Driver communication: One parent should be the primary contact. The driver will text or call when: the group is picked up, when they arrive at dinner, when they arrive at prom, and when they’re heading home. You’ll know where your kids are all night.
- Gratuity: 18-20% is standard for prom runs. Best practice: one parent collects from all families in advance so nobody’s fumbling for cash at 2 AM. We also accept Venmo and Zelle for tips.
- Vehicle inspection: We clean and detail every vehicle before a prom run. If you want to see the vehicle beforehand, call us and we’ll arrange a walkthrough at our lot.
- Insurance: We carry $5M in commercial liability insurance. All vehicles are commercially licensed and inspected. All drivers are background-checked, drug-tested, and trained.
Prom Limo Chicago — Frequently Asked Questions
Can we decorate the limo? Yes, within reason. Streamers, balloons, and banners are fine. No confetti, glitter, or anything that permanently stains. We’ll charge a cleaning fee for anything that requires professional cleaning.
What if someone gets sick? It happens (nerves, motion sickness, too much pre-prom excitement). Our drivers carry cleanup supplies. There is a cleaning fee for any biohazard situations, but your kid’s safety comes first.
Can we play our own music? Absolutely. Bluetooth connection, aux cable, or USB. Your playlist, your night.
What if the prom runs late? We book prom packages in time blocks (typically 4-5 hours). If you need to extend, text the driver. Overtime is billed in 30-minute increments at a reasonable rate. Let us know upfront if you think you’ll need extra time.
